Before running the Daily Close 1, it is import that the Payments and Deposits Report (REPORTS & INQUIRIES > ACCOUNTING - ACCOUNTS RECEIVABLE > PAYMENTS AND DEPOSITS REPORT) has been run to ensure all payments have been reconciled PRIOR to committing them in the Daily Close 1 process.
Within ACCOUNTS RECEIVABLE > EXPORT OPTIONS > DAILY CLOSE 1: RECONCILE PAYMENTS user can commit payments to be communicated to their accounting software. This step will lock the payments being processed. This step tells Simply Hearing OMS | Manage that the payment details taken in the period specified are correct.
The screen prompts are:
Select the location. (** Note the Daily Close 1 needs to be done for each location individually. Any visiting sites associated to the selected location will also be included automatically in the payment totals **)
Select ALL ACCOUNTS.
Select ALL PAYMENT METHODS. (Note you can only reconcile by one payment method at a time if preferred.)
Choose START and END dates and press CONTINUE. Note that if you accidentally dated a payment incorrectly, it may not show within the selected date range.
Next, a screen will display which summarizes the payments take via each payment method for the period currently being closed.
This information can be reviewed and compared to the previously run PAYMENTS AND DEPOSITS report. The DETAILS column window button will break down the details of each payment method to include specific account information. Users can UN select any payment shown to prevent it from being exported at this time.
Click CONTINUE.
Confirm completion of the Daily Close 1 as it is not reversible.
A message will display the batch payment transaction number associated to this Daily Close 1. This number is a unique id representing this Daily Close.
Press OK to continue and print the report that follows for your records.
Your Daily Close 1 has been completed. The payments included in this Daily Close 1 are now considered EXPORTED, and thus cannot be edited. Any corrections on exported payments must be adjusted with a reversing entry.
A "Reconcile Payments Report" will print to screen next, as a confirmation of what exactly was posted in this batch. Consider printing this report for your records and attaching to the deposit slip record.
