Xero Export Status

The XERO EXPORT STATUS inquiry is only available to those clinics configured to export accounting feeds to XERO. The XERO EXPORT STATUS inquiry can be run to see the details of any Daily Close batch (Cash, Sales or Purchases.)

 

The default search criteria populates non-exported sales for the current month. The search criteria can be edited.

 

The selection criteria options are:

 

 

EXPORT TYPE - Select to see either CASH, SALES or PURCHASE export details.

 

STATUS - Select to see either EXPORTED, NOT EXPORTED or BOTH

 

FROM DATE - Select a FROM date to run the XERO EXPORT STATUS inquiry.

 

TO DATE - Select a TO date to run the XERO EXPORT STATUS inquiry.

 

 

Once the results are displayed for the selected search criteria, you can see:

 

 

TRX NUMBER - The export batch transaction number appears here.

 

NAME - The name of the user who performed the export of the batch appears here.

 

DETAILS - Click the ellipsis buttonbox to access more details about the exported transaction. A new XERO RESULTS window will appear showing each transaction included in the batch.

 

The details of all the transactions included in the batch are displayed:

 

REFERENCE - Each transaction is given it's own unique "reference" number within a batch.

 

LOC - The location number of the transaction will display.

 

DATE - The date of the transaction will display.

 

INVOICE - The invoice number of the transaction will display.

 

STATUS - The status of "Successful" or "Failed" will display based on whether the transaction was communicated to XERO.

 

ERROR - If the failure was due to a known error, that error will appear here.

 

At the top of the window, other icons appear. The VOID icon allows you to void transactions or invoices that resulted in an error and should not be communicated to XERO. The EXCEL icon allows user to export the information displayed (based on the search criteria) to excel. If this batch contains many pages of information, use the PREV and NEXT icons to navigate through them.

 

To return to the previous screen, use the EXIT icon at the upper left.

 

 

DATE - The date of the exported Daily Close batch.

 

TIME - The time of the exported Daily Close batch.

 

EXPORTED - A check mark appears for files that have been exported fully and successfully. If the batch had a failed transaction within it, then the check mark would not appear. If a failed transaction within the batch is voided or corrected and exported successfully, then the check mark would appear indicating that the batch was fully successfully exported.

 

DATE - This is the fully exported date. This is the date the exported batch was fully exported. If for example, you ran the batch on one day, however there was a failure on a transaction, then this date field would show the date the batch was FULLY exported after having corrected or voided the failed transaction.

 

TIME - This is the fully exported time. This is the time the exported batch was fully exported.

 

 

Once the inquiry results are displayed, users can indicate who should get the results emailed to them via the SETTINGS icon and then email those addresses via the MAIL icon.
