The SPECIALIST PRODUCTIVITY REPORT was designed to give management a view of how much available Specialist time is being utilized. To use this report, first users must configure the Clinics various APPOINTMENT REASONS with productivity values.
Within CONFIGURE SYSTEM SETTINGS > SCHEDULING > Appointment Reasons configure each appointment reason with either a PRODUCTIVE value of "Yes", "No" or "Not Applicable".
Some clinics may also choose to use OUTCOME CODES on APPOINTMENT REASONS and if so, additional configuration can be done on Outcome Codes to track how many appointments were "successful". Within CONFIGURE SYSTEM SETTINGS > SCHEDULING > Outcome Codes each outcome can be allocated an "Outcome Rating" of either "Success", "Fail" or "Not Applicable". Then when an outcome code is applied to an appointment, this SPECIALIST PRODUCTIVITY REPORT will be able to filter or show results based on the Outcome Rating as well.
The screen prompts are:
SELECT BY - Select to run this report by either LOCATION (if your user id is not configured with multiple location access, this field will be disabled) or by reporting REGION (if reporting regions have been configured within CONFIGURE SYSTEM SETTINGS > SYSTEM > REGION INFORMATION).
REGION - If selecting to run this report by reporting REGION (above), ALL REGIONS will display by default. Use the drop down selection window to select to run this report for a specific region, or leave "ALL REGIONS". (If running this report by reporting REGION, individual regions cannot be selected.)
LOCATION - If running this report by LOCATION (above), select the specific location for which this report is to be run. Select either <ALL>, to run for all locations for which your user id has permissions, <SEL> to run for select locations for which your user id has permissions, or select one location from the list to which your user id has permissions.
SPECIALIST- If running this report by SPECIALIST, select the SPECIALIST for which this report is to be run. Select either <ALL>, to run for ALL SPECIALISTS or <SEL> to run for select SPECIALISTS to run for more then one SPECIALIST.
INCLUDE UNBOOKED - Check this parameter YES if you wish the report to include details for appointment slots that were not booked as well. (Note that available time calculations are based on your clinic/ location opening and closing hours and if your clinic utilizes the SPECIALIST ROSTER the available time calculation is based on the rostered hours for any given specialist.) If you wish to only see unbooked appointment details select ONLY. If you do not wish to include unbooked appointment details then leave the default of NO selected.
APPOINTMENT REASONS - If running this report by APPOINTMENT REASON, select the APPOINTMENT REASON for which this report is to be run. Select either <ALL>, to run for ALL APPOINTMENT REASONS or <SEL> to run for multiple select APPOINTMENT REASONS.
APPOINTMENT STATUS - If running this report by APPOINTMENT STATUS, select the APPOINTMENT STATUS for which this report is to be run. Select either <ALL>, to run for ALL APPOINTMENT STATUS' or <SEL> to run for multiple select APPOINTMENT STATUS.
APPOINTMENT OUTCOME - If running this report by APPOINTMENT OUTCOME, select the APPOINTMENT OUTCOME for which this report is to be run. Select either <ALL>, to run for ALL APPOINTMENT OUTCOMES or <SEL> to run for multiple select APPOINTMENT OUTCOMES.
USER - If running this report by USER (the user who created the appointment) select the USER for which this report is to be run. Select either <ALL>, to run for ALL USERS or <SEL> to run for multiple select USERS.
PRODUCTIVE ONLY - If the Clinics APPOINTMENT REASONS have been configured with a "Productive" value, then this report can be run by "Productive Only" by checking this box.
OUTCOME RATING - If the Clinics OUTCOME CODES have been configured with an OUTCOME RATING then users can run this report by OUTCOME RATING. Select either <ALL>, to run for ALL OUTCOME RATINGS or <SEL> to run for multiple select OUTCOME RATINGS.
STARTING DATE- Enter the starting date for this report.
ENDING DATE - Enter the ending date for this report.
HEARING AID CUT-OFF DATE - If a hearing aid sale is linked to an appointment, that hearing aid sale and value will appear on the DETAILED print format of this report. The Hearing Aid Cut-Off Date selected here will only use hearing aid sale information on invoices with dates up and until the selected cut-off date.
SPECIALIST BREAKOUT - Checking this option will produce a separate productivity sheet for each Specialist individually.
REPORT TYPE - Select wither to run this report in either SUMMARY or DETAIL format.
Click CONTINUE to run the report using the selected criteria.
Click EXIT to close the window.
