Patient Letters

A database of template patient letters can be created for easy creation and printing.

Add a new letter template by clicking ADD.

To view or edit an existing patient letter, click CHANGE and choose a letter to be edited from the drop-down list.

The screen prompts are:

 

LETTER DESCRIPTION - Enter a description for the letter. Use up to 30 characters.

LETTER TYPE - Select Standard Letter or GP Letter. A standard letter means that the system will generate a simple PDF with the selected data tags populated. A GP letter will generate a Word document that allows for editing prior to printing. Your GP letters can be Word documents that are further customized to include your own header and footer images. If you have header or footer images that you would like added to your GP letter, please contact Simply Hearing Support Department. These image files must be named "GP-HEADER.png" and "GP-FOOTER.png" and stored in the data directory\Images\ folder by a Simply Hearing representative.

LETTER SALUTATION - Enter the salutation to appear on the letter.

Click CONTINUE to open the body of the selected letter.

LETTER BODY - The body of the letter will display. Enter the body (text) in your letter.

Click TAGS to add patient specific data to this letter. Depending on which type of Patient Letter being created, click the TAG icon to select from a variety of data tags.  This can be done while within the body of the new or edited Letter. This allows information tags to be called and populated into the letter. When a data tag is selected, it will populate at the bottom of the letter and must be manually cut and pasted into the desired area in the text. (The cut and paste must include the << and >> symbols that indicate it is a data tag.)

Please be aware that using the <<PREFERRED CONTACT>> type tags will use the patient information when there is no preferred contact associated to the patient file and will use the additional contact information when it has been checked to indicate that it is the preferred contact.

Click TEST to run a test of the letter merged with a selected patient file.  The user will be prompted to select for which patient this test is to be run.

Click SAVE to store the changes.

Click EXIT to close the window.

 

Note: Your own Header/Footer files can be embedded into Manage for GP Letters. If you have a header/footer file you wish to use on GP Letters, forward that file to an Auditdata.Support rep to embed it into your software.
