What is necessary for Hosted clients.
Clinics wishing to sync Noah and Manage via Web Services must complete the following:
1.The Noah server will need a static IP address.
2.Ports 8000 and 8001 will need to be opened on the Noah server to the Manage hosted server. (Please reach out to Auditdata support for the IP address. Do NOT open them to the public.)
3.Ports 8000 and 8001 will need to be opened and forwarded from their router to the Noah server.
4.Please supply Noah system user name and password to your Auditdata Support Representative to facilitate configuration of the integration end point.
5.TeamViewer will need to be installed on the system so that an Auditdata Support Representative can install the Noah Web Service components.
The Auditdata Support Representative will need the following information to ensure this all runs as smoothly as it can:
6.Windows log in credentials for an account with administrative privileges so that the Representative can do the install
7.TeamViewer ID and password (note that this needs to be configured not to change)
8.What the external static IP address is.
If you have subscribed to our NOAH Integration module, (please contact the Auditdata Support Department to confirm your subscription) the following will describe how the two software packages work together.
The Auditdata Support Department will configure a Web Service task that will have Manage and NOAH talk to each other every 2 minutes.
1.Manage - will add to NOAH any new patients that have been added to the Manage database within the past two minutes.
2.NOAH - will pass to Manage any new patient audio audiograms saved within the past two minutes.
Setting Up Manage to receive Audiograms from NOAH:
1. Initial Database Sync
2. Specialist Cross Reference
3. NOAH Location Setup
4. Initial Request Audiograms From NOAH
Maintaining the Manage/ NOAH integration:
5. Noah Integration Inquiry
6. Noah's Patient Resolution Process
Initial Database Sync
For the Manage /NOAH (minimum version of 4.3 is required) integration to work the NOAH and Manage databases must be synced. Otherwise, Manage will not be able to import the audiograms that are being sent from NOAH. The sync begins by passing down the patient records from Manage to NOAH either in bulk or by individual patients.
Bulk Push
Manage has a function that can be found at: Main menu > Utilities > Noah Integration > Export Patients to NOAH. This function allows users to select a range of patients to be passed down to NOAH.
Using this method will guarantee that all records have been sent to NOAH, but it will take time to complete. When using this method, a user will need to resolve all patient conflicts to assure the link between NOAH and Manage is created which can be time consuming.
This method can also push down all patients that can be found on all appointments within a date range. This can be useful for passing down all patients that you need to see in a week, allowing for resolution of all conflicts that can occur and assuring that all patients for the week will have audiograms transmitted back to Manage.
Single Patient
Whenever a patient in Manage is touched (patient file is opened and committed to the database with the Continue button), they will be automatically marked to be sent to NOAH to assure that the databases stay in sync. This makes it possible to pass down individual or a handful of patients at a time, allowing you to; view your schedule for the day, see which patients are scheduled for you, and check them all at the beginning of the day so only a handful of resolutions will need to be done. This will take longer to get the database in sync, but if a long single block of time cannot be spared to run the bulk push and resolve all of the patients, this method will make sure your day's worth of patients will transmit data successfully.
Specialist Cross Reference
Just as the patients require a link between them, so do the specialists. The function Noah Specialist X-Reference is found at CONFIGURE SYSTEM SETTINGS > SYSTEM > NOAH SPECIALIST X-REFERENCE, and it allows the user to create a link between the NOAH log in code and the Manage Specialist.
Enter the NOAH log in code in the NOAH Specialist column, and the Manage Specialist name in the right column to create the link. If this link is not created,Manage will not be able to import the audiogram. If everyone that uses NOAH logs in as the default (ABC), it is recommended that you create a specialist in Manage named Created in NOAH.
NOAH Location Set Up
The NOAH Location must be configured to match a valid location in Manage, and the NOAH WSI application only allows for one NOAH Location to be set for each NOAH Server. This is something that needs to be configured when installing the Web Service Integration for NOAH, so please let Auditdata - Client Services department know which location you would like the audiograms to be linked to.
Request Audiograms From NOAH
This function will allow Manage to request audiograms from NOAH. The purpose of this function is to get any past audiograms that were created before the Manage /NOAH web service integration was put in place. This function can be found in Utilities > NOAH Integration > Request Audiograms From NOAH. This function can also be helpful if a patient is not properly linked to Manage before an audiogram is sent. If this happens, use this function to request audiograms for that patient with a starting and ending date when the audiogram was created. Please note that if you request an audiogram that already exists in Manage, it will be duplicated after Noah exports it. (Note: Audiograms can only be imported into Manage if ALL decibel values are within increments of 5 between the range of -10 to 120.)
NOAH Integration Inquiry
This function allows the user to view the status of the Noah Integration from within Manage and allows for monitoring the status of exports from Manage on the Patients tab and imports of audiograms into Manage from the Audiograms tab.
Patients
The Patient tab will show you a list of all patients that are in the queue to be sent to the NOAH server or patients that have already attempted to be sent to NOAH, but have had an error. If an error occurs in the transmission process, it will be displayed in the Fault Code and Fault String area of the integration. In cases where errors occur, please contact Auditdata (Client Services Department) for support. Using the Excel icon while the patients tab has focus will export the list of patients to Excel.
Audiograms
The Audiograms tab of the NOAH Integration Inquiry reads a log file on the Manage server that contains the status of each import attempt from the NOAH Server. This screen will show both successful and unsuccessful transmissions. If the transmission is unsuccessful, it will display the reason. In the above example, the first transmission was successful, the 2nd and 4th transmissions have been sent for clients that have not been synced with Manage, and the 3rd transaction has an error on the decibel rating for Air Conduction Left 1500. (Note: Audiograms can only be imported into Manage if ALL decibel values are within increments of 5 between the range of -10 to 120.) Using the Excel icon when focus is on the Audiograms tab will export the list on the screen into an Excel file. To cut down on the number of files/space used on the application server, the Audiogram logs will be deleted after 7 days.
NOAH's Patient Resolution
Manage and NOAH's patients are linked by use of the BESPID, or Back End System Patient ID. The BESPID that will be assigned to each NOAH patient id will be the Manage patient number. NOAH requires that all patient records being passed into it have a first name, last name, date of birth, and gender. The records that do not have these fields will have an error returned to them upon sending. The process for patient resolution is:
·NOAH filters new patients based first on BESPID, last name, then first name
oIf BESPID is found, NOAH determines it is an update
oIf BESPID is not found, it searches based on first and last name
§If both first and last name are already on a patient record within NOAH, the patient gets added to a manual resolution table prompting the user to decide if it is an update or a new patient the next time they log into Noah.
If a manual resolution is required, the user will be notified by 2 different methods:
1.The user will be prompted upon entering the system that conflicts have been found and have been marked for resolution.
2.The "resolve patient(s)" icon will be in the patient browser.
After choosing to resolve patients, users will be prompted with a screen that has a list of all patients that are marked for resolution.
From this list users can choose the patient to resolve. Once the Resolve button is clicked, a screen will display, showing both the NOAH data record and the record that Manage has sent.
Based on the information provided on the screen, users can choose to Update (which will assign the BESPID to the NOAH record and create the link between this record and Manage) or choose NEW which will create a new record with the data in the left panel that will be linked to Manage.
Note: If your Noah system has been set up to integrate with Manage, it is a good idea to postpone updating your Noah software until you have contacted our the Auditdata Support Department to confirm that we have tested the new Noah version and that there are no known update issues.
