Users can export Patients from Manage to NOAH using this menu option.
Initial Database Sync:
For the Manage/NOAH 4.3 integration to work the databases must be synced or else Manage will not be able to import the audiograms that are being sent from NOAH. The sync will need to be done by passing down the patient records from Manage to NOAH either in bulk or by single patient at a time.
If you wish to export all your existing patients in Manage to NOAH please note this may take time depending on the size of your patient database. It also may take time as patients exported from Manage may need to be manually merged with existing patients within your Manage software resolve patient file conflicts for similar patient files found in NOAH.
There are two main choices for how to export Patients to NOAH:
Option One - Export ALL Manage Patients to NOAH. (Note that depending on the size of your patient database, and whether or not you have already been using NOAH previously, this option may take a while and may require a large amount of NOAH conflict resolution within NOAH to correctly merge patient files.)
FROM PATIENT NUMBER - Leave this field blank to export ALL patients to NOAH.
TO PATIENT NUMBER - Leave this field blank to export ALL patients to NOAH.
ACTIVE ONLY - Click this box to only export patients flagged as "Active".
APPOINTMENT RANGE - Uncheck this box to disable running this export for patients in relation to Appointment Scheduler.
STARTING DATE - This field will disable when not running this Export in relation to the Appointment Scheduler.
ENDING DATE - This field will disable when not running this Export in relation to the Appointment Scheduler.
Option Two - Select to Export only Manage Patients who have appointments within a specified date range. (Note that this option is better for established NOAH users who wish to only export patient files to Noah that have appointments that day, that week or that month. This allows for NOAH patient conflict resolution in smaller bite sized pieces as needed.)
FROM PATIENT NUMBER - Leave this field blank to export ALL patients to NOAH.
TO PATIENT NUMBER - Leave this field blank to export ALL patients to NOAH.
ACTIVE ONLY - Click this box to only export patients flagged as "Active".
APPOINTMENT RANGE - Check this box to run this export within the appointment date range specified below.
STARTING DATE - Enter the starting date for the appointment date range you wish to export patients for.
ENDING DATE - Enter the ending date for the appointment date range you wish to export patient for.
Press the CONTINUE icon to start the Export of Patients to NOAH for the above selected criteria.
If there are any NOAH Patient Resolution conflicts, you will be presented with them upon your next log into NOAH.
NOAH's Patient Resolution
The way that Manage and NOAHs patients are linked is by use of the BESPID, or back end system patient ID. The BESPID that will be assigned to each NOAH patient id will be the Simply Hearing OMS patient number. NOAH requires that all patient records being passed into it have a first name, last name, date of birth, and gender, the records that do not have these fields will have an error returned to them on sending. The process for patient resolution is:
·NOAH filters new patients based first on BESPID, last name, then first name
oIf BESPID is found, NOAH determines it is an update
oIf BESPID is not found it searches based on first and last name
§If both first and last name are already on a patient record within NOAH, the patient gets added to a manual resolution table forcing the clinic user to decide if it is an update or a new patient.
If a manual resolution is required, the user will be notified by 2 different methods:
1.The user will be prompted upon entering the system that conflicts have been found and have been marked for resolution.
2.The “resolve patient(s)” icon will be in the patient browser.
After choosing to resolve patients, you will be prompted with a screen that has a list of all patients that are marked for resolution.
