Maintain Appointment Status Codes are performed here. These are the codes that are used to track the status of an appointment such as Confirmed, Arrived and No Show. Customizing Appointment Status Codes allows detailed appointment tracking and reporting within the Appointment Booking Report (REPORTS & INQUIRIES > MARKETING AND CRM > APPOINTMENT BOOKING REPORT.)
To ADD a new Appointment Status Code, click ADD. Examples of Appointment Status Codes are ARRIVED/ LEFT MESSAGE/ CONFIRMED/ CANCELED etc.
To change an existing Appointment Status Code, click CHANGE and highlight the line to change.
The screen prompts are:
CODE - Assign this Appointment Status a 1 digit alphanumeric unique code.
DESCRIPTION - Give this Appointment Status a description IE: Missed, No Show, Canceled etc.
OUTCOME REQUIRED - Check this box if you have set up Outcome Codes (CONFIGURE SYSTEM SETTINGS > SCHEDULING > OUTCOME CODES) that need to be tracked to this specific appointment status. (IE: you may only want to prompt the user for an Outcome Code when the appointment status is "arrived" as that indicates the appointment was completed and thus has an outcome.
LOCK APPOINTMENT - Check this box if when selecting this appointment status code, you wish for the appointment to be "locked" and disallow any edits to the appointment. (Note users can be granted permissions to edit locked appointment within APPLICATION USERS.)
NO NOTIFICATIONS - Check this box to indicate that Patient Notifications (CONFIGURE SYSTEM SETTINGS > PATIENT > PATIENT NOTIFICATIONS) should not be sent for appointments with this Appointment Status Code. Be aware that status code "X" for CANCELED will always skip Patient Notifications.
ATTENDED - Check this box to indicate that an appointment has been attended. The purpose of this column is purely informational.
INACTIVE - Check this box to make an Appointment Status no longer available.
