Request Return Voucher

This option allows users to automate the submission of Return Voucher Request Forms from a site ID through electronic submission. This enables Providers to submit client information in a specific file format. This file is then attached to an email and sent to a special purpose email account operated by the HSVS (Hearing Services Voucher Service.) The file will be uploaded and matched against HSVS, updating client records. When a match cannot be found or a request does not comply with the business rules, relevant records will be included in the exceptions report which is issued to the relevant Provider.

 

To turn on RVR processing, indicate so within HSP Parameters. Each Location in the company needs to be set up with specific import and export file locations within Location Information (CONFIGURE SYSTEM SETTINGS > SYSTEM > LOCATION INFORMATION.)

 

The screen prompts are:

 

LOCATION - Select the location for which you wish to run a Request for Return Vouchers. (If you have selected to run Request Return Vouchers out of one designated central location, this field will not appear.)

 

STARTING DATE - Enter the starting date for which to find expired Vouchers. The expiry date for Vouchers is located in the PRIMARY FUNDING SOURCE - EXPIRY DATE.

 

ENDING DATE - Enter the ending date for which to find expired Vouchers. The expiry date for Vouchers is located in the PRIMARY FUNDING SOURCE - EXPIRY DATE.

 

INCLUDE DECEASED - Check to include, not include or to only include patients with the "deceased" flag. A patient flagged as "deceased" will update the HSVS database when the electronic file is sent.

 

INCLUDE INACTIVE - Check to include inactive status patients.

 

 

Press CONTINUE.

 

A results screen will display, showing patients who meet the selected criteria.

 

At the upper left, the EXCEL icon will launch a report in EXCEL format which can be printed.

 

Press CONTINUE to create the import file. At the prompt, confirm that you are ready to create the export file.

 

Select YES. A message describing that the data was successfully exported will appear.

 

 

 

When clicking the DETAILS link, the name of the zip file created will appear. It is this zip file that is to be attached to the email to HSVS at HSP.ESUB@health.gov.au
