Simply Hearing OMS must have at least one location set up. The location representing Head Office is mandatory and comes pre-loaded into your system. From the drop-down list, select the Head Office location to access its information. The name "Head Office" may also be edited to any preferred location name. However, the Location Code must continue to be blank. Fill in the proper name and address information for this location. If your clinic has other locations besides Head Office, they can be set up here.

 

 

The screen prompts are:

 

LOCATION CODE - When adding a new location, click ADD and enter a new 3 digit location code. If modifying/editing an existing location, click CHANGE and select the desired location from the drop-down list. Head Office requires the location code to be blank. Clicking on the ellipsis button  also allows a location wide logo to be selected. The user can browse and upload a location logo that will appear on Invoices, Orders, Payment Receipts, Repairs, Statements, HSP Claims, Patient Inquiries, Patient Letters, Audiograms and Inventory Transfers. (Note the image file will be scaled to fit and must be a .png file or a .jpg. The recommended maximum size options for a logo are: 356px x 100px / 712px x 200px / 1424px x 400px.)

ALTERNATE LOCATION CODE - This field is used to indicate the name of the location or location code, as it was referred to in a previous software system. When searching for a location in other parts of the software, users can search by either the ALTERNATE LOCATION CODE or LOCATION NAME within the same location search field.

LOCATION NAME - Type in the correct location name. To specify an alternate name for forms, click the ellipsis button button, then enter the alternate name.

ADDRESS LINE 1 and 2 - Type in the Clinics address. Use line 1 first and line 2 if more space is required.

CITY - Type in the Clinics city.

PROV/STATE - Type the Clinics province or state.  

(*** NOTE ***  Once a location's address has been edited, a prompt will appear to archive the old address information. This will allow old documents to be reprinted with the applicable address information as it was at the time of creation.)

TIMEZONE - If utilizing Auditdata Primus Arc then set the Clinic time zone.

TELEPHONE - Type in the Clinics area code and main business telephone number.

FAX - Type in the Clinics fax area code and number.

EMAIL ADDRESS - Each location can have one email address assigned. (This email address can also be used if automating the Daily Close 1 process as the notification email address used.)

PRINT LOCATION INFO ON FORMS - If this box is checked, the address and provider/registration numbers will print on any forms to which this location is assigned. If this check box remains unchecked, the primary clinic or head office name, address and provider/registration numbers will print on all forms.

VISITING SITE - Check this box if this location is a satellite or a visiting location.

PARENT LOCATION - If this location is a satellite or a visiting location, indicate the "parent" location of the satellite office. The "parent" location is the location under which this visiting location's Daily Close 1 will be processed.

G.S.T. NUMBER - Enter the GST Registration number that applies to this location (for Canada and New Zealand). Other countries can ignore this field.

P.S.T. NUMBER - Enter the PST Registration number that applies to this location (for Canada only). Other countries can ignore this field.

AUSTRALIAN BUSINESS NUMBER - (Australian clinics only) Enter the company Australian Business Number

NPI NUMBER - (American clinics only) Enter the NPI Number (necessary for HCFA claim processing.)

TAX CODE 1 - From the drop-down list, select the location default tax for CODE 1. This tax code is respected as the default in all entry programs.

TAX CODE 2 - From the drop-down list, select the location default tax for CODE 2. This tax code is respected as the default in all entry programs.

TAX CODE 3 - From the drop-down list, select the location default tax for CODE 3. This tax code is respected as the default in all entry programs.

TAX CODE 4 - From the drop down list, select the location default tax for CODE 4. This tax code is respected as the default in all entry programs.

LOCATION PROVIDER NUMBERS - (Canada only) If this location is in Ontario Canada, there are 3 selections: AVDP Number, WSIB Number  and VAC Number. If this clinic location is outside of Ontario Canada, there are 2 selections: WCB Number and VAC Number.

BANKING INFORMATION - Five free form information lines regarding banking information can be saved here, and will print on the corresponding location's printed documents.

HSP INFORMATION - (Australia only) A new window will appear:

 

 

HSP NUMBER - Enter the HSP Number for this location. The HSP Number is the "Service Provider Number" that appears on the HSP Claim form. If a location has a blank HSP Number, then the Company HSP Number will print under "Service Provider Number" on the HSP Claim form.

 

SITE ID - Enter the Site ID to be assigned for services performed at this location.

 

MINOR CUSTOMER ID - The Minor Customer ID is available from the drop-down list. (If you don't find the Minor Customer ID for this location in the list, go to HSP Minor Customer ID  to add new ones to the list).  If this location is a visiting site and this Minor Customer ID field is left blank, E-Claims for this visiting site will use the Minor ID associated to the Parent location. Any Parent location with a Minor Customer ID that is left blank, will have HSP Claims for that location use the main Company Minor Customer ID located within HSP Parameters.

 

EXPORT FILE DIRECTORY - Enter the file path to where the exports for this location are to be sent.

 

IMPORT FILE DIRECTORY - Enter the file path to where the import files are to be retrieved.

 

E-CLAIM EXPORT HISTORY - Clicking on the ellipsis button button will display a new window:

This new window displays the history of completed E-Claim Transactions and includes details relating to that export.

 

 

Click CONTINUE to close the window and return to the previous screen.

 

RVR EXPORT FILE DIRECTORY - Enter the file path to where the exports for Return Voucher Requests will be stored.

 

RVR IMPORT FILE DIRECTORY - Enter the file path from which the imports for Return Voucher Requests will be retrieved.

 

RVR USE CORPORATE EMAIL - Check this box to notify HSP to use your corporate email account as linked to your provider number/contract with HSVS.

 

NO NOTIFICATION - Check this box to indicate that Patient Notifications (CONFIGURE SYSTEM SETTINGS > PATIENT > PATIENT NOTIFICATIONS) for appointments at this location should not be sent.

 

INACTIVE - Check this box to indicate that this location is no longer active and cannot be selected in drop down location selection fields.

 

 

 

Click SAVE to store changes. Click EXIT to close the window.
