Report Scheduler

The REPORT SCHEDULER allows users to set up various reports to run automatically as scheduled and to be stored or emailed. To fully set up REPORT SCHEDULER, knowledge of setting up Windows Tasks will be necessary. For assistance, please contact Auditdata (Client Services Department).

 

Reports that can be scheduled are:

 

Aged A/R Report

Appointment Booking Report

EDI Order Status Report

Export Inventory Audit History

Export Invoices

Export Patients

Hearing Screener Results Report

HSP Funding Report

HSP Claim Status Report

Lead Import Report

Order Inquiry

Patient Quote Report

Payments & Deposits Report

Pending EDI Orders

Product Minimum / Maximum Report

Product Report

Product Sales Report

Lead Conversion Report

 

 

To add a new report to the automatic REPORT SCHEDULER, click ADD.

 

The screen prompts are:

 

REPORT NAME: Select from the drop-down list which of the available reports is to be scheduled.

 

DESCRIPTION: The description of the report will default to the actual report name. This description can be edited.

 

START DATE: Enter the date of the first run of this report.

 

START TIME: Enter the time of day this report will first run.

 

RECURRENCE: Enter the recurrence schedule on which this report will run. Either NONE, DAILY, WEEKLY, MONTHLY or YEARLY.

 

EVERY: Indicate how often within the recurrence selected this report should run.

 

RELATIVE: Checking this box will repeat the recurrence exactly on the same day of the week. For example, if you say MONTHLY starting "Wednesday September 1" then instead of running on October 1, it will run again on the first Wednesday in October.

 

END DATE: Enter an end date for this report to stop running. (If this report should run for the foreseeable future, simply enter a date well into the future.)

 

LAST DATE/TIME: The date shown here will be the date the report was last run. Click the ellipsis button box to see what the report looked like the last time it was run.

 

NEXT DATE/TIME: The date shown here will be the date the report will next be run. Click the ellipsis button box to see the future schedule as it has been set.

 

 

EXPORT DIRECTORY: Select the path where the report file to which this is to be saved.

 

BASE FILENAME: Define a naming convention for the file generated by the report scheduler.

 

EMAIL ADDRESSES:  Click the ellipsis button box to enter the email addresses (if any) that this report should be emailed to by using the ADD button. Changes or deletions of email addresses can also be completed by highlighting the email address and using the CHANGE and DELETE buttons.

 

REPORT OPTIONS: Click the ellipsis button box to select the report options or variables with which this scheduled report will run. Each report chosen will display the available report options for that report.

 

 

 

Select the data variables such as REGION and LOCATION.

 

NOTE: It is assumed that any user having access to this menu option will have access to ALL LOCATIONS, regardless of their individual APPLICATION USER set up.

 

Enter your STARTING DATE field to choose your start date parameters.

 

Next, click the ellipsis button box on the SHORTCUT DATE field and from the available options, select the Shortcut Date.

 

 

The STARTING DATE will display here based on the start date previously entered for this scheduled report.

 

Note* OFF-SETS are designed to set up a report to run on a specific date, but to use another date as the start date of that report. For example, running a report on every Monday, that reports on the previous Monday to Friday's activity.

 

OFF-SET DAYS: If applicable, enter the OFF-SET DAYS. The STARTING DATE shown can be off-set by + or - days as needed. (IE: if you want your start date to be five days earlier than the start date shown, enter "-5" as the OFF-SET.)

 

OFF-SET WEEKS: If applicable, enter the OFF-SET WEEKS. The STARTING DATE shown can be off-set by + or - weeks as needed. (IE: if you want your start date to be 1 week earlier than the start date shown, enter "-1" as the OFF-SET.)

 

OFF-SET MONTHS: If applicable, enter the OFF-SET MONTHS. The STARTING DATE shown can be off-set by + or - months as needed. (IE: if you want your start date to be 1 month later than the start date shown, enter "1" as the OFF-SET.)

 

OFF-SET DATE: Based on the OFF-SET entered above, the new START DATE of the report will be displayed here.

 

Press CONTINUE to store your changes and return to the main Report Scheduler screen.

 

Click on your END DATE field to choose your END DATE options.

 

REPORT LOG: Click the ellipsis buttonbox to see a log recording each date, time and file path for the report.

 

 

 

The REPORT LOG shows the all the report jobs that have been run and includes details such as the date and time the report was ran as well as the file name (file location). If an error was generated when running the report, that error would be recorded as well. Press OK to close the window and return to the main screen.

 

On the main screen, press CONTINUE to store your scheduled report.
