Appointment Scheduler Manage

When first launching the Manage Scheduler, the upper left DISPLAY option allows the user to select which view of the Scheduler you wish use:

 

CALENDARS - Shows all schedules for the selected date, regardless of Location or Specialist.

 

LOCATION  - Shows all appointments for a selected Location, and requires a Specialist choice and can display a single Specialist across multiple selectable locations.

 

APPOINTMENTS - Shows all appointments regardless of Specialist for a selected location.

 

Navigate to any date on the calendar by using the date selection tool or using the previous and advance arrow beside the currently selected date.

 

To create a new appointment, click the CREATE icon and the CREATE APPOINTMENT PANEL opens. Within the CREATE APPOINTMENT screen, all mandatory fields display an * (asterisk).

 

The screen prompts are:

 

APPOINTMENT TITLE - If left blank the APPOINTMENT TITLE will auto populate after saving the appointment with a combination of the PATIENT NAME and the APPOINTMENT REASON. (For example "John Doe - Hearing Test" will become the Appointment Title.

 

ADD PATIENT - Use the drop down selector to find your patient. The SEARCH box is available to narrow your search results. The ellipsis can be used to select whether you wish to search your available PATIENTS or your available LEADS. If you need to edit the selected patient, use the drop down menu again and choose your new patient/ lead.

 

LOCATION - Select which location this appointment is for from the drop down list.

 

SPECIALIST - Select a Specialist for this appointment from the drop down list. More then one Specialist can be selected.

 

APPOINTMENT REASON - Select an Appointment Reason from the drop down list.

 

RESOURCES - Select a Resource from the drop down list for this appointment. More then one Resource can be selected.

 

DATE - The date of this appointment will default to the date of the calendar when the appointment was created, but this date is editable as required.

 

START TIME - Select a Start Time for this appointment using the drop down list.

 

END TIME - Select an End Time for this appointment using the drop down list.

 

RECURRENCE - If this appointment is recurring, use the drop down to select the recurrence details.

 

The CUSTOM RECURRENCE screen will open:

 

REPEAT EVERY - Select the frequency the recurring appointment should occur on.

 

REPEAT ON - Select the frequency the recurring appointment should occur on.

 

ENDS - Select when the recurring appointment should end on.

 

Press OK confirm your appointment recurrence details. Press CANCEL to abort your appointment recurrence details and return to the previous screen.

 

Other available tools include:

 

FIND AVAILABILITY - Use this tool to find an open appointment slot based on a variety of selection criteria.

 

MANAGE CALENDARS - This feature allows you to see a graphic display of the patient, specialists and resources grouped together in this appointments time slot.

 

SHOW/ HIDE OPTIONS - The SHOW OPTIONS details are only available for inputting values after an appointment has been saved. Once editing an existing appointment, users can add:

 

NOTE - Enter a note to be saved on this appointment.

 

CAMPAIGN - Enter a campaign to be associated to this appointment.

 

FUNDING - Enter a funding source to be associated to this appointment.

 

STATUS - Enter an appointment status to associate to this appointment.

 

OUTCOME - Enter an appointment outcome code to be associated to this appointment.

 

 

Click CREATE to save and create the appointment with the details selected.

Click CANCEL to abort appointment details and return to the previous screen.

 

To EDIT an existing appointment, click on the appointment and a preview panel opens with summary details. Click the EDIT icon to edit the appointment. To edit an APPOINTMENT STATUS
